Go to the backend, choose ‚FlightLog‘ in the left-hand menu and click on the ‚Pilots‘ button.
When the table is displayed, klick on ‚New Record‘ (Hinzufügen) in the top left of the table.
You will be presented with a blank pilot form to fill in.
The Trigram is the pilots login-name. Use a mnemonic combination of letters in the pilots first and last name to build the Trigram (maximum 5 characters, no spaces).
As soon as you have entered Trigram, First Name, Last Name and Email, a user account is created for the pilot. A message is displayed (userdata changed) and the user is displayed in the field User Account.
To enable login for the user you must either
- Send an email with a link to set/reset the password with the Send Password Reset button, or
- Set the users password manually with the Set User Password button (if the Password field is empty, a random password is suggested. Click on Set User Password again to set the password.) Only strong passwords are accepted.
The default user role is Pilot / FI. You can change the user role to Employee, Author or Editor. For the capabilities of each role see User Roles
Certain entries in ‚Pilot Level‚ influence which pilots a user can choose from in FlightPlan and FlightLog.
If the pilot you are adding is a flight instructor or BAZL expert, the entry in ‚Pilot Level‘ must begin with ‚FI‚ or ‚BAZL Ex‚ respectively. FI’s and BAZL Experts can be chosen as instructor in FlightPlan bookings and FlightLogs of the aircraft allocated to them.
FI’s and BAZL Experts can make FlightPlan bookings and FlightLog entries for all active pilots in the aircraft allocated to them.
Commercial Pilots (Level entry begins with ‚CPL‚) can book flights with FI’s and BAZL Experts and ‚exchange‘ bookings with other Commercial Pilots
Generate a Calendar Code with the generate key button to enable downloading of FlightPlan bookings into an external internet-calendar (Outlook, Ipad, Google).
Fill in the rest of the form then click on ‚Save‚ to save your entry.
To enable FlightPlan bookings and FlightLogs, you must allocate aircraft to the pilot.
If your pilot has Limited Certifying Staff (LCS) qualification for specific aircraft, you must save the LCS licenses in the ‚Pilot is Limited Certifying Staff for‘ subform.
Enter the pilots licenses in the Pilot Licenses subform to enable uploading of updates by the pilot in ‚My Account‘.
